What you'll be doing Job Description The job holder of this position is responsible for implementing day to day personnel operations, confidential certificates, employee relations etc, and is responsible for ensuring implementation policies. Operational: Implement activities under minimal supervision Escalate complex problems to the relevant person to ensure case/issue is closed efficiently and in timely a manner Administer employee's attendance, leaves, vacations and overall absenteeism Ensure the adherence of all employees to organization's personnel rules and regulations Follow up with all employees concerning medical certificates for sick leaves, and out of office/absence forms Handle all medical insurance claims and liaise with insurance companies for employees' collections Issue/cancel access cards in adherence to security policies Prepare welcome kits for new employee orientation sessions Prepare absenteeism calculations for end of service settlement Attend to employee enquiries on company policies and procedures Handle and follow up on the work visa and labour contract processes Coordinate with the employees and the PROs Prepare, maintain and update the appropriate documents Lead the work visa and labour contract renewals Process the application, renewal and cancellation of all documents for labour cards, work permits and residency visas Schedule medical examinations for the processing of residence visas Update document according to expiry on the HRIMS Initiate, update and maintain employees' personal data on the HRMS Keep updated records on all new immigration and labour legislations as communicated by the PRO and the Personnel/HR Manager Prepare staff turnover reports (new comers, leavers, total headcount), KPI report for absenteeism. What you'll be doing The job holder of this position is responsible for the recording of supplier invoices and reconciliation of supplier statements in line with related policies and procedures. The job holder is also responsible for financial and KPI reporting. JOB PURPOSE The Senior Senior Record to Report Services Specialist Services Specialist at Azadea's Business Services is responsible for providing professional accounting services and overseeing the operations of the reconciliation unit to ensure the delivery of a comprehensive and efficient end-to-end service to the group. RESPONSIBILITIES Manage the Reconciliation of ARC balance sheet, ensuring timely and accurate information availability by reconciling accounts and managing the age of unreconciled items within established KPIs. Collaborate closely with internal and external auditors during financial and operational audits, providing accurate and prompt information. Generate reports based on statistical and functional metrics such as balance sheet aged items, reconciliation progress, and status of unreconciled items. Enhance system efficiency to automate matching and reconciliation as per set schedules for timely review. Ensure compliance with cut-off dates, closure of general ledger accounts, and adjustments in line with the established period-end calendar. Conduct closing activities according to the schedule, and review management fees, royalties, and allocations based on existing agreements. Align accruals with contractual obligations, conduct monthly FX valuations, and ensure tax provisions adhere to regulations and procedures. Validate, review, and ensure the accuracy of financial data related to balance sheet reconciliation by identifying, investigating, and rectifying routine errors and anomalies in input data. Maintain clean and reconciled balance sheet accounts, keeping the company informed about its financial standing and enabling the production of statutory reports within legislative time limits. Maintain a high level of customer service, meeting internal Service Level Agreements (SLAs), and promptly addressing requests to ensure internal customer satisfaction. LANGUAGE & TECHNICAL SKILLS Language Skills Fluency in English. Fluency in French is a plus. Technical Skills Proficiency in MS Office. EDUCATION Bachelor's degree in Accounting, or Finance, or a related field. Master's degree is a plus. EXPERIENCE Four to six years of experience in a similar role. Organizational: Follow all relevant HR policies, processes, and standard operating procedures to ensure work is carried out in a controlled and consistent manner. 2. Operational: Implement activities under minimal supervision. Escalate complex problems to the relevant person to ensure the case/issue is resolved efficiently and in a timely manner. Administer employees’ attendance, leaves, vacations, and overall absenteeism. Ensure adherence of all employees to the organization’s personnel rules and regulations. Follow up with employees regarding medical certificates for sick leaves and out-of-office/absence forms. Handle all medical insurance claims and liaise with insurance companies for employee reimbursements. Issue and cancel access cards in accordance with security policies. Prepare welcome kits for new employee orientation sessions. Prepare absenteeism calculations for end-of-service settlements. Attend to employee inquiries regarding company policies and procedures. Handle and follow up on work visa and labor contract processes. Coordinate with employees and PROs (Public Relations Officers). Prepare, maintain, and update the necessary documentation. Lead the renewal processes for work visas and labor contracts. Process applications, renewals, and cancellations of labor cards, work permits, and residency visas. Schedule medical examinations for the processing of residence visas. Update documents according to expiry dates in the HRIMS. Initiate, update, and maintain employee personal data on the HRMS. Keep updated records of new immigration and labor legislation as communicated by the PRO and the Personnel/HR Manager. Prepare staff turnover reports (new hires, leavers, total headcount), and KPI reports for absenteeism. Update staff lists accordingly. Participate in relevant projects and community activities as needed. What you’ll need to succeed · Minimum of 2 years of relevant experience. · Good command of both English and Arabic (written and spoken). · Relevant educational background in Human Resources or a related field. · Ability to work effectively under pressure and manage multiple tasks. · Experience with SAP or similar HR systems is preferred.
